Central Labs is a small/boutique/niche Environmental Testing Lab, specializing in Water, Soils, and Oilfield wastes. We provide support for Reclamation/Remediation companies, waste management companies, drinking water quality (homeowners, realtors, water well drillers, etc.) and some other industries as they arise. We pride ourselves as a local alternative, providing efficiency, ease of access, and that personal touch with technical expertise as our value-added services.
Central Labs Ltd. has been in operation since 2008, and our team glue since Day 00001 will be celebrating a well-earned retirement. As such, will have an opening for a Lead Office/Lab Administrator. The position is very wide-faceted in duties, so a variety of skillsets will be required. Many of these can be learned on-the-job or within the training program, as well we will facilitate external learning opportunities. A 4-week training will be mandatory with the current Administrator.
Typical Duties include
Front Office Duties:
- Greeting Customers when dropping off samples & accept courier drop-offs
- Assist in Analytical requests, including minor technical recommendations
- Accept and/or arrange Payment (usually credit account or debit/credit)
- log the sample in, arrange in-house or external subcontracting (courier setup, and 3rd party requisition)
- answer phones, answer some minor technical questions, list our services, re-direct as applicable
- provide final reports to clients including invoicing
Quality Control
- maintain our QC system (ISO:17025), documentation, archiving information, etc.
- participate in annual audits
Ordering
- regular inventory checks
- submit pricing and availability requests to vendors
- arrange purchases, approvals, payment, logistics/shipping, receiving
Bookkeeping
- Enter Sales, invoices payable and payments due
- reconcile debit & visa payments
- Reconcile monthly visa & bank statements
- receive payments by cash, cheques, EFT
- arrange payment by EFT, cheques, etc.
General light office duties
- notify customers of delays, timing, etc. of analysis
- Arrange bi-monthly payroll
- light human-resources management; note days on/off, holiday notifications, etc.
Routine management meetings, “toolbox” meetings
MANY MANY more non-routine, infrequent items to keep your job interesting and challenging!
Compensation
Pay is based on experience, from $22.50 – $35.00/hr

Education:
Completed college, Business or Office Administration training or equivalent.
Training/Experience/Skills:
Minimum of 1 year relevant and related work experience.
Excellent knowledge of computer-based accounting systems, including AR/AP, reconciliation, payroll.
Must be highly proficient with various computer programs (Excel, Word, Outlook, etc.)
Must be able to work independently and set priorities and as part of a project team.
Must be well organized and detailed orientated for ISO/IEC 17025.
Excellent communications and interpersonal skills.
Strong concept comprehension and information retention skills.
Job Description:
1. Type and word-process various documents and electronic information.
2. Create financial and statistical tools and reports using spreadsheets.
3. Manage, organize, and update relevant data using database applications.
4. Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups.
5. Analyze and interpret financial statistics and other data and produce relevant reports.
6. Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures.
7. Research and investigate information to enable strategic decision-making by others.
8. Arrange and participate in meetings, conferences, and project team activities. Answer a high volume of calls and maintain a rapid response rate according to agreed standards.
9. File data and perform other routine clerical tasks as assigned and for other departments as needed.
10. Order and maintain relevant office/lab supplies for effectiveness of personal duties.
11. Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, calculator, shredding machine and photocopy machine.
12. Communicate and liaise verbally and in writing between customers/suppliers/visitors/enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions.
13. Perform reception duties in an efficient, professional and courteous manner.
14. Performs other related duties as assigned or requested.
Considerations
Our committment is to customer & client service. Sometimes we have to stay a little while outside the normal 9-5 regular hours to ensure our clients get their reports as promised.
No public transportation is available, but plenty of parking is available. Please review job location.
The administrator, once well-versed in skills & duties, has a lot of responsibility in independant work, freeing up Senior management’s time. Additionally, with consideration of requirements for our Quality Control System, flexibility in procedure and systems to best work with you is available.
